Coaching Conversations Using AI for Success and Company Culture

The man behind Intel’s success, Andy Grove, swore by one-on-one meetings. In his book, “High Output Management,” he talks about them like they’re the secret sauce to keeping the team aligned and in the know. For Andy, it was all about making sure nothing got lost in translation and that he could mentor his team effectively.

I believe in Andy’s words and in fact built a product at TINYpulse called Coach that helped managers do better 1-1s.

But, it didn’t work. Making sure nothing gets lost in translation is incredibly hard. It requires intelligent questions, active listening, detailed note taking, astute analysis, and follow up.

Delivering personalized, impactful coaching consistently is a significant hurdle so most people give up.

Enter, my Coaching Assistant, Chat GPT.



From Chaos to Clarity

Job Title: Founder of Talent Edge

Challenge: Leading coaching conversations is one of the most fulfilling parts of my role. It's where I get to share knowledge, inspire innovation, and foster growth within the team. However, the real world of a Founder is hectic—balancing strategic decisions, operational tasks, and personal commitments leaves little room for deep, meaningful coaching.

Effective communication often suffers, and without the right tools, maintaining a personal touch becomes a daunting task. Lack of clarity in these conversations can lead to misunderstandings, decreased motivation, and suboptimal performance, ultimately affecting both individual productivity and the organization's efficiency.

Solutions

To overcome these challenges, I’ve incorporated AI tools, particularly Fireflies and ChatGPT, into my coaching processes. By leveraging AI, I can streamline note-taking, ensure thorough analysis of coaching conversations, and maintain consistency across all sessions. This integration not only saves time but also enhances the quality and effectiveness of our coaching interactions.


AI-Assited Coaching

There is a better way. Here’s how it works:

Role

Define the role or persona the AI should assume to provide the most relevant and accurate output. For instance, the AI can take on the role of a manager analyzing a coaching conversation.

Instructions

Clearly outline the specific task you want the AI to accomplish, including any necessary context or details. For example, instruct the AI to summarize a coaching conversation into key categories like facts, feelings, and follow-up actions.

Steps

Provide a step-by-step guide or list of actions the AI should follow to complete the task effectively:

  1. Upload the meeting transcript, including timestamps and speaker names.

  2. Use a specific prompt to analyze the conversation using a defined framework such as the GROW, CLEAR, OSKAR, STAR, or SBI model.

  3. Review the AI-generated summary and make necessary adjustments.

  4. Organize the final output into a structured document, such as a Notion page, for easy reference.


Human Element

While AI tools significantly enhance the coaching process, human expertise and oversight are crucial. My skills in understanding team dynamics, providing personalized feedback, and ensuring the alignment of coaching with organizational goals complement the AI's capabilities. This combination ensures high-quality and reliable outcomes.


This is How I Do It

After meeting with the team using Fireflies, I download the transcript of the meeting, including timestamps and speaker names. Then, I upload it to ChatGPT with a specific prompt. Sometimes, if the output isn't quite right, I add another prompt to refine the results. Once satisfied, I copy the ChatGPT results and put them in Notion, where I keep a list of Coaching Conversations using AI for different employees.

For instance, I use a structured prompt framework like this:

Prompt example: As the founder of a business and a manager who is coaching a team member in a social media role at a client, analyze this coaching conversation using the GROW Model.

Prompt example: As a manager, please summarize my 1-1 notes with Hieu. Organize them into facts, feelings, and follow-up actions, skipping the small talk at the beginning.

Prompt example: I think you missed something in the follow-up, like university talks and Da Nang trip.

Prompt example: Please do this as one set of output.

By following this framework, I ensure that every coaching conversation is thoroughly analyzed, well-organized, and actionable, helping me lead my team more effectively and fostering a culture of continuous improvement and success.
