Real Intelligence Workshop Success in Empowering Marketing Teams at RH1, Rock Hill Asia, and Ni Hao Ma Mandarin Learning Lab

Every time I go into a company it gives me so much energy to see how much immediate value each of the participants receive. I was quite pleased that 100% of the participants said they were able to apply learnings to their current roles.

Here’s a rundown of how our last session went.


Baseline Evaluation

Before attending the workshop, we asked participants to take a short survey where they indicated that they had several challenges in integrating AI technologies into their marketing strategies. Our initial survey highlighted the following:

  • Familiarity with AI: Participants rated their familiarity with AI technologies as low, with an average rating of 2.4 out of 5.

  • Current AI Usage: While 70% of attendees used AI tools, primarily for content creation and social media analysis, 90% noted that lack of knowledge was a significant barrier.

  • Training and Education: None of the participants had received formal training on AI applications in marketing.

  • Perceived Benefits: The top perceived benefits of AI included increased efficiency (90%), cost savings (60%), and better targeting and personalization (50%).

  • Challenges: Major concerns included lack of understanding (90%), data privacy issues (50%), and poor quality of AI-generated content (40%).


Workshop Highlights

The Real Intelligence Workshop was meticulously designed to address these challenges. The workshop featured:

  • Alignment Sessions: Utilizing the Toyota Kata framework, we documented the current condition, created a Definition of Awesome, and agreed on our first target condition.

  • AI Essentials: Insightful education on the basics of AI and how they tie into the practical application of prompt engineering.

  • Practical Exercises: Real-world exercises that helped participants apply AI tools and techniques directly to their marketing tasks.


Toyota Kata:

I like the Toyota Kata framework because it provides a simple way to define key initiatives and create a plan for attainment. Many concepts from the Lean Startup and Agile methodologies were modeled after this type of thinking.

Step 1: Create Your Definition of Awesome:

Carve out some time with your leadership team to get alignmenton where you want to go. What does "awesome" look like? I’ll spend 10 minutes using an equal voice method for feedback collection, then input it all into ChatGPT. The output will look something like this:

"Awesome" for us looks like this: Every meeting runs smoothly, with crystal-clear minutes sent out immediately, ensuring everyone knows their tasks and priorities. Our hiring process is lightning-fast, with AI scanning CVs, categorizing candidates, and sending personalized video questions to quickly identify top fits. We produce high-quality, human-centric content that resonates deeply with our audience, bringing a genuine, engaging voice to all our communications. Our marketing plans are complete, targeted, and effective, while AI handles routine tasks, freeing up our time for creative and strategic work. With AI boosting our productivity, we achieve more, make better decisions, and enjoy a better work-life balance. This is the definition of "awesome" for us!

Step 2: Define your Current Condition:

Usually, I start with another equal voice exercise where participants write down all the reasons why they aren’t “awesome” yet. In addition, I will ask them to jot down how they are currently using AI. This list can then be prioritized, giving you a nice backlog of items to work on 😊



Step 3: Create your next target condition

Usually, I set a three-month period for the next target condition, with monthly meetings to check in on our progress. The purpose of this step is to pick a set of actionable items that will get you one step closer to "awesome!”

In the next three months, we will empower our team to craft perfect prompts with a vibrant prompt library, turning every interaction into a seamless conversation. By automating CV screening and email communication, we’ll streamline our hiring process and quickly engage top candidates. Additionally, we’ll develop a solution that automatically generates tasks from meeting notes, capturing all action items promptly and improving our meeting efficiency and follow-up actions.

Step 4: Finalize your list of action items

This is where we get granular in our plan. It’s important to leave the Kata session with a clear list of tasks and an owner for each.

I really enjoy doing these workshops at organizations. It’s an awesome feeling seeing the light bulb 💡 pop on as teams develop the skills and confidence to kickstart their AI journey.
